4. Messaging channels and our AI assistant

Our published contact channels are phone, WhatsApp, email and our Facebook Page on Messenger. When you message our Facebook Page, an AI assistant helps us answer common admission questions using only our school's own information. If you ask, it will tell you that it is an AI assistant.

• Your message (and, if you send a voice message, its audio and a text transcript) is processed on our own server and sent to Google's Gemini AI service to prepare a reply. We use Google's paid service, under which Google does not use this content to improve its products.
• A copy of each conversation is sent privately to our school admin so that a person can review it. Complaints, special requests and anything the assistant is unsure about are always answered by our admission team, not by the AI.
• To understand your follow-up questions, our server keeps a short history of your recent messages with us.
• The assistant may ask for your WhatsApp number so our admission team can contact you. Sharing it is optional. If you share it, we save your number together with the details from the chat (such as your child's age, preferred class, area and a short summary of your enquiry) in our admissions records, and use it only to follow up on your admission enquiry and campus visit.
• You can ask to speak with our admission team at any time, or call us on 01334-119966.

6. Job applicants

When you apply for a job through our Careers page, we collect your name, email address, mobile number, highest qualification, teaching and leadership experience, current or previous institution, your CV and any supporting documents you choose to upload. We also record the date of your consent and a one-way (non-reversible) code derived from your IP address to prevent spam and duplicate submissions.

• We use this information only to assess your application and contact you about it.
• CVs and documents are kept in private storage that is not publicly accessible and can be opened only by authorised school management after logging in.
• Application data is never shared with advertising platforms, including Meta (Facebook).
• Applications and documents are deleted automatically 12 months after submission.
• You may ask to see or delete your application at any time by emailing info@alfazr.com.

7. Advertising measurement

We may advertise job vacancies on Facebook / Instagram. If you accept in the consent banner, the Meta Pixel records that a page was visited and that an application was completed, so we can measure our advertisements. It does not receive your name, email, phone number, CV or anything you type into our forms. If you decline, the pixel is not loaded. You can change your choice at any time with the "Ad measurement settings" link at the bottom of every page.

10. Your choices and data deletion

You may request access, correction, or deletion of personal information we hold about you (subject to legal or operational limits) by emailing alfazr.info@gmail.com.

To delete your Messenger data: send the message "Delete my data" to our Facebook Page, or email alfazr.info@gmail.com with the name on your Facebook account (and the phone number you shared, if any). We will delete your conversation history and any admissions record created from it, and confirm by reply. You can also delete the conversation from your own Messenger app at any time.
